Start with the session, not the color

Write down how many tables will operate at once, how the equipment is transported and who checks it between sessions. Specify a complete playing inventory

The standard American playing inventory contains 152 tiles. List the suits, winds, dragons, flowers and jokers by quantity, then identify any extras separately. A retail total of 160 or 166 does not tell the teacher which spare tiles are present. Keep the inventory with the storage kit so another person can reset the table without relying on memory. Make the equipment easy to use

Review the sample with the intended players. Ask whether the suits and honor tiles can be recognized under ordinary room lighting and whether the rack supports the proposed tile dimensions. Set up all four sides of the table and allow room for cards and hands. Avoid approving mat dimensions from a photograph alone: a decorative border or unusually shaped edge changes the usable playing area.

Design a repeatable reset

Decide where tiles, racks and smaller components belong when the session ends. Check the loaded case or bag, not only an empty sample. Keep a simple contents list and identify missing or damaged components before the next event. If you plan spare packs, confirm what is supplied and preserve the batch reference; replacement tiles should not be assumed interchangeable across different production runs.

Turn the plan into a supplier inquiry

Send the number of setups, quantity per design, preferred tile dimensions, accessory list, destination and desired arrival window. Explain whether you want an existing base design or original artwork. Ask the manufacturer to identify exclusions and review the complete sample with you. This planning approach helps compare quotations on the same equipment scope rather than choosing on the lowest tiles-only price.

Plan the reset between sessions

For shared equipment, the job does not end when the first game is set up. Decide how volunteers or staff count, separate and store the pieces afterward. A simple contents reference inside each kit can make the process more consistent. Keep any spare allocation clearly distinct from the playing inventory.

Ask how the club moves equipment between rooms or venues. The loaded bag, not just the empty product, determines whether the proposed storage is practical. A portable kit and a permanently installed table may need different arrangements.

Use a trial setup before ordering many tables

Review one complete configuration with the people who will teach or host. Check whether the tile faces, rack and table area suit the session. Ask which details interrupt the lesson and whether a clearer legend or packing layout would help. Record those observations before approving repeated setups.

A club’s purchasing quantity is not the same as a market-demand forecast. Quote the actual number of products and colors required, with the order unit clear. Confirm the sample and support terms directly rather than assuming an institutional order includes additional services.
